New Business Assistant

We are looking for a New Business Assistant to join our Sales and Marketing team in the Isle of Man.

JOB DESCRIPTION & SPECIFICATION

Job Title:                           New Business Assistant

Line Manager:                  Business Development Director (BDD)

Summary of Position:      Provide support to the Business Development function and assist with the administration of a small portfolio of complex clients.

·         Reviewing and collating client due diligence;

·         Preparing client packs for review by our compliance team before take on of new business;

·         Entering data onto our administration system for new business (Viewpoint);

·         Recording and updating key contacts and sales information in CRM (Zoho) database;

·         Prepare files for transfer in of new business from another provider;

·         Preparation of structure charts;

·         Awareness of products and services offered by the company. Company policies, due diligence requirements and Anti-Money Laundering provisions and be sufficiently competent to advise clients of our compliance requirements.

·         Assist with ensuring that all records are kept up to date for designated client entities on Viewpoint Administrator, timesheets and billing;

·         Prepare Billing request forms for special or fixed fees agreed with clients.  Alternatively to ensure that the correct amounts of time, fixed fees and disbursements are entered into the Viewpoint system for later invoicing;

·         Assist with the recovery of outstanding invoices;

·         Liaising with clients and intermediaries under the supervision of Business Development Executive (BDE) and the BDD;

·         Acting as a point of contact for clients and intermediaries during the absence of BDE and BDD;

·         Prepare detailed handover note for the administration team;

·         General duties or ad-hoc tasks as required.

No experience is necessary as full training will be given.
